WDW Guides is operated by Explorer Guides LLC, a New Hampshire limited liability company, doing business as WDW Guides ("WDW Guides," "we," "our," or "us"). Explorer Guides LLC is the entity responsible for your personal data — the data controller — under this policy. We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our trip planning service.
WDW Guides is currently in beta. Our features and data practices may evolve as we build. We'll reflect any material changes here with an updated date at the top, and email you about significant changes.
1. Information We Collect
Account Information
When you create an account, we collect:
- Email address
- Name (if provided)
- Account preferences and settings
Trip Data
When you use our planning tools, we store:
- Trip dates and travel party information
- Itinerary plans and park day schedules
- Dining reservation tracking data
- Lightning Lane selections and preferences
- Resort and accommodation preferences
Dining reservations may include optional dietary or allergy notes you choose to enter. These are used only to display your own reservation details, and you can remove them at any time by editing or deleting the reservation, or by deleting your account.
Travel Party Information
When planning a trip, you may enter details about the people in your travel party to receive tailored recommendations. For each party member, this may include an age range, an optional height (used to check ride height requirements), and an optional name or label you choose to add. This information is entered by you, the account holder, and is used solely for trip-planning features such as height-requirement checks and age-appropriate suggestions.
Feedback
When you submit feedback through our in-app feedback form, we collect the message you write, the optional category you select (for example, bug, idea, or other), and the page you were on when you submitted it. This is associated with your account and is used to review, respond to, and improve the service based on what you report.
Usage Information
We automatically collect basic usage data to maintain and improve the service, including pages visited, features used, and general interaction patterns.
Waitlist
If you join our beta waitlist, we store the email address you provide so we can manage beta access and notify you when your access is ready.
2. How We Use Your Information
We use your information solely to provide and improve the WDW Guides service:
- To provide the service: Creating and managing your trip plans, generating personalized recommendations, and saving your planning data
- To improve the service: Understanding how users interact with our tools so we can make them better
- To communicate with you: Sending account-related notifications, booking window reminders, and service updates
Payments: The beta is free and we do not collect any payment information. If we introduce paid subscriptions in the future, payments will be handled by our payment processor, Stripe, and we will update this policy before that happens.
3. What We Do NOT Do
We want to be clear about what we do not do with your data:
- We do not sell your personal data to third parties, ever
- We do not share your data with third parties for their marketing purposes
- We do not use your trip data for advertising or profiling
- We do not provide your data to Walt Disney World or any Disney entity
4. Data Sharing and Service Providers
We use a small number of trusted service providers to operate WDW Guides. They only process your data to provide their part of the service, and are contractually obligated to protect it:
- Supabase — database and authentication. Stores your account and all trip data.
- Vercel — hosting, plus anonymous analytics and performance measurement.
- PostHog — product analytics and session replay, to help us understand how the service is used and fix usability issues. Text you type is masked and not captured.
- Resend — delivery of transactional emails (such as sign-up confirmation, password reset, beta access notices, and notifications to our team when you submit feedback).
- Cloudflare — bot protection on our sign-in and sign-up pages. To run these checks, Cloudflare receives your IP address and basic request metadata on those pages.
- Anthropic — powers an internal assistant used only by our admin team. It does not receive your account or trip data in normal operation.
We may also share data in these limited circumstances:
- Legal requirements: We may disclose information if required to do so by law or in response to valid legal process
- Business transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction, with notice to you
5. Your Rights
You have full control over your data:
- Access: You can view your personal data and trip information through your account at any time
- Correction: You can update your account information and trip data at any time through the service
- Deletion: You can delete your account yourself at any time from Settings → Delete Account. This immediately and permanently removes your account and trips. (Trips you delete individually are recoverable for 30 days before they're permanently deleted.) You can also request deletion by email if you prefer. Feedback you've submitted is stored with your account and is removed when you delete it, though copies delivered to us by email may be retained as internal business records, no longer linked to your account.

6. Data Security
We take reasonable measures to protect your data, including encryption in transit (HTTPS), secure database storage, and access controls. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.
7. Cookies and Analytics
We keep this simple and use as little as possible:
- Essential cookies: We use a session cookie from Supabase to keep you signed in and manage your session. This is required for the service to work and cannot be disabled.
- Bot protection: On our sign-in and sign-up pages, Cloudflare Turnstile may set a cookie to verify you're a real person and block automated abuse.
- Analytics and performance: We use Vercel Analytics and Vercel Speed Insights to measure traffic and site performance for all visitors. These collect anonymous, aggregated data (such as pages visited and load times) and do not use cookies.
- Product analytics and session replay: We use PostHog to understand how the service is used and to fix usability issues. This includes session replay — a playback of how visitors move through the site, such as page views, clicks, and scrolling — and PostHog sets first-party cookies to recognize a session. The text you type into forms is masked, so what you enter is never captured in these recordings.
- Local storage: We store small conveniences in your browser's local storage — such as unsaved quiz drafts and interface preferences. This stays on your device and is never sent to us or anyone else.
We do not use advertising cookies or cross-site tracking, and we do not sell or share analytics data with third parties for their own marketing.
8. Data Retention
We keep your account data and trip information for as long as your account is active. When you delete your account from Settings → Delete Account, your account and trips are removed immediately and permanently. Trips you delete individually are held for 30 days so you can recover them, then permanently deleted. We may retain limited records where required by law. Feedback you submit through the in-app form is stored with your account and is deleted when your account is deleted; copies of that feedback that reached us by email may be retained as internal business records, no longer linked to an active account.
9. Children's Privacy
WDW Guides is intended for use by adults (18 and older). We do not knowingly allow children to create accounts or use the service directly.
Because WDW Guides is a trip-planning tool, an adult account holder may choose to enter information about members of their travel party, which can include children traveling with them (such as an age range and, optionally, a height or name). This information is provided by the adult planning the trip, is used solely for planning features such as ride height-requirement checks and age-appropriate recommendations, and is never collected directly from children.
If you believe a child has created an account or provided us with personal data directly, please contact us and we will promptly delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes via email or through the service. The "Last updated" date at the top of this page indicates when the policy was last revised.
